This article describes how you can use Microsoft Outlook to display your
Contacts in different formats, such as "Last Name, First Name" (without the
quotation marks).

Outlook Address Book
Your Outlook Address Book uses the Contact Subject field when displaying
names. Although you can change the way individual contacts are displayed in
the Outlook Address Book, you cannot change the display name uniformly for
all contacts at once.
To change the format that your Outlook Address Book uses to display an
individual's name, follow these steps:
- In Outlook, open a contact.
- In the contact, click the All Fields tab.
- In the Select From list, click All Contact Fields.
- Under the Name column, find the Subject field.
This is the field that the Address Book uses to display your contact's
name.
- In the Value box, type the name the way you want it to appear in the
Address Book, for example, "Doe, Jane" (without the quotation marks).
- Click the Save And Close toolbar button to save your changes, and
then close the contact.
Corporate Workgroup (CW) Notes
On the Tools menu, click Address Book to open your Address Book. In the
"Show Names from the" list, click to select your Outlook Address Book
Contacts. You should see the contact that you modified listed as "Last
Name, First Name" (without the quotation marks).
Internet Mail Only (IMO) Notes
On the Tools menu, click Address Book to open your Address Book. You should
see the contact that you modified listed as "Last Name, First Name"
(without the quotation marks)
Contact Name Entry and Filing Options
Outlook 2000 contains new features that allow you to specify the default
setting for how you enter contact names and also the default setting for
how you want to file new contacts within your Contacts folder. Changing
these settings affects all new contacts in your Contacts folder, but does
not affect old contacts or the Outlook Address Book. Follow these steps to
change the order your enter or display your contacts within your Contacts
folder:
- On the Tools menu, click Options.
- Under the Preferences tab, click Contact Options.
- In the "Default 'Full Name' order" list, click to select how you type
your contact name when creating a new contact. The default is to type
the first name, middle initial, and last name. If this is the way you
normally type names when entering a new contact, then leave the default
setting. This setting has an impact on whether Outlook thinks "Joe" is
a first name or a last name in the other contact fields.
- In the "Select the default setting for how to file new contacts" list,
click to select the way you want your contacts filed in the Contacts
folder. This setting affects the "File as" field in new contacts.
