File Already Exists or Low Memory Error When Saving File

SYMPTOMS

When you save a file from any Microsoft Office 97 program to a Microsoft Windows 95 folder, the following error message may appear:

   The file <filename> already exists. Do you want to replace existing
   file?

When you click Yes, either of the following error messages appears:

   Cannot save <filename>. The folder is marked as 'Read-Only'.

   -or-

   Document saved successfully. Cannot reopen the saved document due to
   low memory. Please close the document.

CAUSE

The first error message appears if the following conditions are true:

  • The folder to which you are attempting to save the file uses user-level security permissions.

    -and-

  • The folder permissions are set to Read Files and "Create Files and Folders" only.

The other error messages appear if the following conditions are true:
  • The folder to which you are attempting to save the file uses user-level security permissions.

    -and-

  • The folder permissions are set to Read Files, "Create Files and Folders," and Delete Files.

This problem occurs when the folder uses user-level security under Microsoft Windows 95, and you (the user) are assigned Custom access rights that do not include Write To Files permission. This problem does not occur with share-level security under Microsoft Windows 95.

RESOLUTION

To resolve this problem, change the folder permissions to include Write To Files permission.

NOTE: Contact your network administrator if the folder is on a server.

To change the permissions for the Microsoft Windows 95 folder, use the following steps:

  1. In Microsoft Windows Explorer, right-click the folder, and click Sharing on the shortcut menu.

  2. In the <Folder> Properties dialog box, click the Sharing tab.

  3. Click Shared As, type a name in the Share Name box, and type a comment in the Comments box (optional).

  4. If the user's name is not in the box, click Add to add the name. In the Add Users dialog box, type the user's name in the Name box, click Custom, and then click OK.

    -or-

    If users' name is already listed and you want to modify existing permissions, click the user's name, and then click Edit.

  5. In the Change Access Rights dialog box, click to select the check box to enable the "Write to Files" permission. Click to select the "Create Files and Folders" and "Read Files" check boxes. Click OK.

  6. Click OK to close the <Folder> Properties dialog box.

Note: If the user is not assigned Delete Files permission for a folder, a temporary file may be left in the folder when the user saves a file, which results in twice as many files being stored in the folder. If Delete Files permission is not granted, the following error message appears even though the file is saved to the folder:

   Document saved successfully. Cannot reopen the saved document due to
   low memory. Please close the document.

STATUS

This is by design of Microsoft Windows 95. You must have Write To Files permission for a folder in order to avoid the error messages when you save a file to a folder that uses Custom permissions.
